It is a decision point. If the organisation reaches it without evidence on performance, cost, risk and alternatives, the supplier is deciding by default. Use the signed agreement and amendments as the source of truth. Do not rely on a diary entry copied from last year. Work backwards from the contractual notice requirement, leaving time for internal review, negotiation and any procurement route. Notice periods and renewal mechanics differ by agreement. Confirm the relevant terms rather than assuming a standard period. ## Make the supplier earn the next term Ask the service owner to evidence what was delivered against the agreed outcomes. Review service levels, unresolved issues, change requests, price movements, dependency risks and the cost of operating the service. Separate documented facts from stakeholder impressions. Then compare realistic options: renew on existing terms, renegotiate, change scope, run a competitive process, insource or exit. Include transition effort and operational risk in the comparison. The business owner must own the commercial choice, with finance, procurement, legal and service leads involved where relevant. Set a decision date early enough to preserve options. If renewal is approved, record why, what changed, which risks remain and who owns the next review. If terms are renegotiated, make sure authorised approvals and contract amendments are completed before teams work to the new arrangement. Review missed or late decisions to find the cause: unclear ownership, poor data, late supplier engagement or a weak hand-off. A renewal process is valuable because it keeps choice alive. The organisation should be able to explain what it bought, what it received, what alternatives it considered and why it chose the next step.
